This article explains how to import data from PDF to Excel and convert data from PDF to Excel using web applications.

Both Excel and PDF are among the most popular software used by billions globally. Each program performs a different task. Excel is responsible for providing a digital platform in which spreadsheets can be created. PDF is a service used to preserve digital documents.

Microsoft allows importing data in PDF format to an Excel spreadsheet. However, this feature is available with Office 365. If you search in the Excel options, it is possible that you will not see any option to import the data from a PDF. I tried to find the option to import PDF data on a Microsoft 2016 spreadsheet but was unsuccessful.

The first thing you have to do is open a spreadsheet in Excel. It is good to have a blank sheet to prevent interference with other data. But if not, you must have the cell selected where you want to place the PDF data. Inside, click on the Data tab at the top of the screen.

Import Data

Once you are inside the Data tab, you will see many options related to the data in your Table. Here, you have to click on the Get Data option on the far left in a category called Get and transform.

When you click on Get Data, a menu will open. In it, first, click on the From File option and then choose the option – From PDF. Locate the file and start uploading it.

You are supposed to upload PDF files. By changing the option from text files to All Files, you will see all file types, including PDFs, and you can try to upload them. Once you view all the files, choose the PDF whose data you want to put in Excel and click on Import to start the process.

Transform the Data

You can now see a series of fields where the data types in the PDF are divided. While you import the PDF tables, a new dialogue box named Navigator will open. You’ll see that Excel detects the tables inside the PDF and throws recommendations to arrange those tables.

If you want to work on the available data, then you should choose Transform Data. However, if the data is in the right place, just click on Load.

Here, I have selected Transform Data.

Close & Load

When you double-click on the Table, you will see an extensive preview of the Table of the PDF that you will take to Excel. Here you can copy all the data or only specific cells. When you have it as you want, click on the Close and Load button to import the data.

The Close and Load option is nested under the Home tab, extreme left; just click on it to insert the table in your Excel sheet.

And that’s it; the PDF data will be loaded correctly in your Excel sheet. Now, you can go to the rest of the Excel tabs to continue shaping or changing the Table format.
